Data room software reviews
18 platforms, each with a profile, a fit score out of 10, a feature sheet and pricing notes. Grouped by type of software, because a deck tracker and a deal room are not the same purchase.

How to read a profile
Each profile opens with the facts that settle most shortlists: entry price, trial, security attestations and deployment. Below that come the six criterion scores against the directory average, the features listed and not listed, the strengths and gaps that follow from those facts, pricing estimates and the closest alternatives.
"Not listed" is a deliberate phrase. It means the feature does not appear in our facts file, which is built from vendor sources. Some vendors sell features as add-ons or ship them between our monthly checks, so treat a gap as a question for the demo rather than a final answer.
Deal controls, the number that matters most
The deal controls column counts six features that carry a transaction: a Q&A module, audit trail, dynamic watermarking, redaction, document rights control and bulk upload. A platform with all six can run a multi-bidder process inside the software. One with two or three is better suited to sharing files with a single counterparty.

Every platform in the directory lists a SOC 2 report. The difference lies in ISO 27001, HIPAA coverage and the scope of each report: some attestations cover the vendor's own controls, others only the hosting provider. Read the scope section before relying on either.

Frequently asked questions
How many data room software platforms do you cover?
18: 12 dedicated virtual data rooms plus file-sharing platforms and document tracking tools that buyers often consider for the same job.
What is the difference between a data room and a file-sharing platform?
Both store and share files securely. A data room adds the transaction layer: a Q&A module, permission groups per counterparty, document rights control and activity reporting built for a deal.
Which data room software has the most features?
By our count of twelve tracked features, Datasite (10), iDeals (9), Box (9) list the most. Feature count alone does not decide fit; see the scores.
Are the reviews based on testing?
No. Profiles are written from vendor documentation, published pricing, security attestations and our shared facts file. Where a trial would tell you more, we list the checks to run yourself.
